Join our dynamic Industrial Brokerage team as a Sales Support Coordinator! This role is ideal for a high-energy, self-motivated individual eager to learn and grow. You will provide advanced administrative, operational, research, and executive support, ensuring the team’s efficiency and success in a fast-paced, high-performance environment. The Sales Support Coordinator should regularly exercise confidentiality, discretion and independent judgement.
Key Responsibilities Sales & Brokerage Support Functions:- Assist in the development and management of listing documentation, offers, RFIs, RFPs, BOVs, and deal records
- Prepare and process documents for electronic signature (Docusign)
- Track deal flow, critical dates, and maintain CRM databases
- Coordinate with research teams for market surveys and leverage internal tools for sourcing opportunities
- Support client reporting and ensure compliance with FINTRAC and other regulatory requirements
- Interface with sales professionals, researchers and clients regarding administrative and marketing requirements and to gather necessary data.
- Ensure the accurate and timely dissemination of marketing materials
- Responsible for all administrative and marketing tasks involving the professional
- Assist with marketing campaigns, prepare property brochures, and distribute materials
- Maintain a positive, proactive presence as the first point of contact for internal and external stakeholders
- Manage complex calendars, schedule meetings, tours, and coordinate travel arrangements for team leaders
- Prepare agendas, record meeting minutes, and follow up on action items
- Handle confidential communications, screen calls, and route correspondence
- Organize and maintain digital and physical filing systems
- Support expense tracking and invoice processing
- Keep the sales professional and team organized, and arrange meetings, presentations and functions, as required
- Suggest process improvements and contribute to team efficiency
- Adapt to changing priorities and multi-task in a fast-paced environment
- Ability to work independently with little supervision
- Excellent written and verbal communication skills with attention to detail
- Individual should be organized, highly motivated, and have the ability to take initiative
- Ability to work well under pressure while maintaining a friendly and positive attitude
- Ability to manage multiple projects and deadlines
- Attention to detail, adaptability, and ability to multi-task
- Technical proficiency in Microsoft Office Suite, CRM systems, and document management tools
- University or College education preferred
