About the Role

Join our dynamic Industrial Brokerage team as a Sales Support Coordinator! This role is ideal for a high-energy, self-motivated individual eager to learn and grow. You will provide advanced administrative, operational, research, and executive support, ensuring the team’s efficiency and success in a fast-paced, high-performance environment. The Sales Support Coordinator should regularly exercise confidentiality, discretion and independent judgement.

Key Responsibilities Sales & Brokerage Support Functions:
  • Assist in the development and management of listing documentation, offers, RFIs, RFPs, BOVs, and deal records
  • Prepare and process documents for electronic signature (Docusign)
  • Track deal flow, critical dates, and maintain CRM databases
  • Coordinate with research teams for market surveys and leverage internal tools for sourcing opportunities
  • Support client reporting and ensure compliance with FINTRAC and other regulatory requirements
  • Interface with sales professionals, researchers and clients regarding administrative and marketing requirements and to gather necessary data.
  • Ensure the accurate and timely dissemination of marketing materials
  • Responsible for all administrative and marketing tasks involving the professional
  • Assist with marketing campaigns, prepare property brochures, and distribute materials
  • Maintain a positive, proactive presence as the first point of contact for internal and external stakeholders
Executive Assistant Functions:
  • Manage complex calendars, schedule meetings, tours, and coordinate travel arrangements for team leaders
  • Prepare agendas, record meeting minutes, and follow up on action items
  • Handle confidential communications, screen calls, and route correspondence
  • Organize and maintain digital and physical filing systems
  • Support expense tracking and invoice processing
  • Keep the sales professional and team organized, and arrange meetings, presentations and functions, as required
  • Suggest process improvements and contribute to team efficiency
  • Adapt to changing priorities and multi-task in a fast-paced environment
What we're looking for in a Sales Support Coordinator
  • Ability to work independently with little supervision
  • Excellent written and verbal communication skills with attention to detail
  • Individual should be organized, highly motivated, and have the ability to take initiative
  • Ability to work well under pressure while maintaining a friendly and positive attitude
  • Ability to manage multiple projects and deadlines
  • Attention to detail, adaptability, and ability to multi-task
  • Technical proficiency in Microsoft Office Suite, CRM systems, and document management tools
  • University or College education preferred
