Job Overview
We are seeking a highly organized and bilingual (English & Spanish) Administrative Assistant to support our office operations. This role is vital in ensuring smooth daily functions, providing exceptional customer service, and managing administrative tasks efficiently. The ideal candidate will possess strong office management skills, proficiency in various computer applications, and excellent communication abilities, including bilingual fluency. This position offers an opportunity to work in a dynamic environment where attention to detail and multitasking are essential.
Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and Google Workspace for document creation, spreadsheets, and correspondence
- Coordinate calendar management and appointment scheduling for staff and clients
- Provide customer support via phone and email, maintaining excellent phone etiquette and customer service standards
- Support office management tasks such as supply ordering, record keeping, and general administrative duties
- Assist with medical or dental receptionist duties if applicable, including patient check-in and appointment coordination
- Maintain organizational systems to improve office efficiency and workflow
Qualifications
- Proven experience in office administration or clerical roles, with strong organizational skills and attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
- Excellent communication skills in both English and Spanish (bilingual) is required
- Strong computer literacy, including familiarity with multi-line phone systems and office management software
- Previous experience in customer service or support roles demonstrating professionalism and effective phone etiquette
- Ability to manage multiple tasks efficiently with excellent time management skills
- Office experience in medical or dental settings is a plus but not required
- Personal assistant or calendar management experience is advantageous

Pay: $ $24.00 per hour
Expected hours: 40 per week
