Duties

  • Greet visitors, clients, and vendors warmly, creating a welcoming atmosphere at the front desk
  • Manage multi-line phone systems, answer inquiries promptly, and direct calls appropriately
  • Handle incoming and outgoing correspondence, including emails, mail, and packages
  • Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents
  • Perform data entry tasks using Microsoft Office, Google Workspace, and other office software with accuracy and efficiency
  • Schedule appointments, manage calendars, and coordinate meetings for staff and executives
  • Assist with basic bookkeeping using QuickBooks or similar accounting software to support office financial tasks
  • Support office management activities such as supply inventory, ordering materials, and maintaining equipment

Requirements

  • Proven experience in an office environment or as a receptionist with clerical responsibilities
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent organizational skills with keen attention to detail and proofreading abilities
  • Exceptional customer service skills paired with professional phone etiquette and communication skills
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience with office management tasks such as filing, calendar management, and personal assistant duties preferred
  • Knowledge of medical or dental receptionist procedures is a plus but not required
  • Ability to handle multiple priorities efficiently while maintaining a positive attitude
