Job Overview
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our Medical Spa. In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and callers, and ensure smooth administrative workflows. Responsibilities

  • Greet visitors warmly, assist with check-in procedures, and direct them appropriately within the facility
  • Answer multi-line phone systems promptly and professionally, providing excellent customer support and support to internal teams
  • Manage appointment scheduling, calendar management, and coordinate meetings using tools like BooksyBiz
  • Handle data entry tasks accurately, including filing, maintaining records, and updating databases.
  • Perform clerical duties such as proofreading documents, managing correspondence, and organizing files efficiently
  • Support office management activities, including supply inventory, mail distribution, and basic bookkeeping tasks
  • Maintain a tidy reception area and ensure all office equipment is functioning properly
  • Provide bilingual support when needed to assist diverse clients or team members effectively
  • Demonstrate excellent phone etiquette while managing inquiries via phone or email with professionalism and clarity
  • Assist with administrative projects as assigned to improve overall office workflow and customer experience
  • Have a proper understanding of Marketing

Skills

  • Proven experience in front desk or administrative roles with strong office management skills
  • Excellent computer literacy
  • Familiarity with multi-line phone systems and professional phone etiquette
  • Experience with BooksyBiz
  • Marketing Skills and Ability to handle Social Media
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Exceptional customer service skills with a friendly demeanor and clear communication abilities; bilingual capabilities are HIGHLY VALUED
  • Attention to detail for proofreading documents and maintaining accurate records
  • Ability to manage time effectively while juggling multiple responsibilities, such as calendar management and filing
  • Previous experience in medical or dental receptionist roles is advantageous but not required; transferable clerical or personal assistant experience is welcome
  • Demonstrated ability to handle confidential information discreetly while supporting office operations
