Job Overview:
We are seeking a highly organized and professional Receptionist to join our team. As the first point of contact for our company, you will play a crucial role in providing excellent customer service and creating a positive impression for our visitors and clients. The ideal candidate will have strong communication skills, exceptional attention to detail, and the ability to multitask effectively.
Duties:
Greet and welcome visitors in a friendly and professional manner
Answer phone calls, take messages, and direct calls to appropriate individuals
Manage the reception area, ensuring it is clean and organized
Schedule appointments and maintain calendars for staff members
Assist with administrative tasks such as filing, data entry, and document preparation
Handle incoming and outgoing mail and packages
Coordinate meetings and events, including room reservations and catering arrangements
Provide general administrative support to staff as needed
Maintain HIPAA Compliance at all times
Experience:
Previous experience as a Medical Receptionist or in a similar role is preferred
Strong organizational skills with the ability to prioritize tasks effectively
Excellent written and verbal communication skills
Proficient in using Google Suite or similar office software
Experience with proofreading documents for accuracy and clarity
Familiarity with calendar management tools for scheduling appointments
Knowledge of event planning processes is a plus
Previous experience working in a dental office or healthcare setting is beneficial but not required
Skills:
Personal assistant skills to provide support to staff members as needed
Ability to transcribe information accurately and efficiently
Proficient in computerized systems for managing appointments and records
Strong attention to detail to ensure accuracy in all tasks performed
Excellent phone etiquette with the ability to handle inquiries professionally
