We are seeking a dynamic and highly organized Office Administrative Assistant to join our team This vital role offers an exciting opportunity to support daily office operations, enhance customer interactions, and ensure smooth administrative workflows. Responsibilities

  • Handle multi-line phone systems with confidence, directing calls accurately and courteously while practicing excellent phone etiquette.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records.
  • Manage calendar scheduling, appointment setting, and calendar management for team members or executives.
  • Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports, correspondence, and presentations.
  • Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing and expense tracking.
  • Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs effectively.
  • Assist with office management tasks such as supply ordering, maintaining office equipment, and organizing files for easy retrieval.
  • Coordinate internal communications and support administrative projects that enhance overall office efficiency.

Skills

  • Proven experience in office management or administrative roles with strong clerical skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy.
  • Experience with QuickBooks or other bookkeeping software is highly desirable.
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Strong typing skills coupled with meticulous proofreading abilities to ensure error-free documents.
  • Effective communication skills including phone etiquette; bilingual abilities are a plus for serving diverse clients.
  • Knowledge of multi-line phone systems and front desk operations to handle high call volumes smoothly.
  • Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required.
  • Ability to manage time effectively while juggling multiple responsibilities with professionalism and enthusiasm. Pay: $ $22.00 per hour
