We are one of the fastest-growing remodeling companies in Tampa Bay, and we're looking for a motivated, organized, and bilingual Office Administrator who wants to grow into a Project Management role over time.

This is an entry-to-mid level position for someone who wants to learn the construction industry from the ground up — office operations, jobsite coordination, and full project oversight. If you're hungry to grow, we'll train you.

What You'll Be Doing

This role is the backbone of our operation. You'll support ongoing projects while learning how to manage them end-to-end.

Office & Administrative Duties

  • General office administration and organization
  • Answer incoming phone calls and schedule appointments
  • Organize and manage CompanyCam (photos, tagging, job folders)
  • Maintain project files and all job documentation
  • Scan and send receipts and documents to our accountant
  • Track paid invoices and send paid receipts to clients

Project Coordination & Management (Training Provided)

  • Order construction materials (slabs, doors, windows, LVL, block, etc.)
  • Track and manage inventory at the office and storage unit
  • Pull permits and manage permit paperwork
  • Notarize and file Notices of Commencement (NOC)
  • Coordinate subcontractors and schedules
  • Visit job sites a few times per week to inspect work and understand job progress
  • Follow up on active jobs to ensure everything is running smoothly

Client & Financial Support

  • Send estimates, contracts, and change orders for signature
  • Create and send change order documents
  • Send invoices (including quick field invoices and demo crew invoices)
  • Follow up on outstanding estimates
  • Past client follow-ups for warranty items and callbacks

Marketing & Organization

  • Help keep up with social media content
  • Organize jobsite photos for marketing and records

What We're Looking For

  • Bilingual (English & Spanish) – REQUIRED
  • Must have a reliable vehicle and be comfortable with site visits
  • Strong organizational and time-management skills
  • Comfortable multitasking and handling multiple projects
  • Good communication skills with clients, subcontractors, and team members
  • Willingness to learn construction processes and project management
  • Basic computer skills (email, documents, apps like CompanyCam)

Construction or office experience is a plus, but not required — we will train the right person.

Pay: From $20.00 per hour
