Job Summary
We are seeking a detail-oriented and organized Bi-Lingual (Chinese/English) Office Assistant to support our daily administrative operations. The ideal candidate will have strong computer skills, excellent customer service abilities, and experience with office management tools. This role involves handling front desk duties, managing multi-line phone systems, and providing clerical support to ensure smooth office functions. Bilingual skills are a plus, and previous experience in reception is advantageous. The Office Assistant will play a vital role in maintaining an efficient, professional, and welcoming environment for clients and staff alike.

Responsibilities

  • Greet visitors and manage front desk operations with professionalism and courtesy
  • Answer and direct calls using multi-line phone systems, demonstrating excellent phone etiquette
  • Schedule appointments and manage calendar entries using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Support office management tasks such as supply ordering, filing systems, and general administrative duties
  • Provide customer support via phone or email, ensuring prompt and effective communication
  • Manage correspondence, including emails and written communications, with strong organizational skills
  • Support personal assistant duties as needed, including calendar management and task prioritization

Qualifications

  • Proven experience in office administration or clerical roles
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Strong written and verbal communication skills; bilingual abilities are a plus
  • Experience handling multi-line phone systems and demonstrating professional phone etiquette
  • Ability to work independently with minimal supervision while maintaining attention to detail
  • Prior office management or administrative experience is desirable
  • Knowledge of medical or dental receptionist duties is advantageous but not required

Pay: $21.00 per hour
