We are seeking a highly organized and detail-oriented Office Administrative Assistant to support our daily operations. This role is vital in maintaining efficient office functions, providing exceptional customer service, and ensuring smooth communication across departments. Responsibilities
- Manage front desk duties, including greeting visitors and handling inquiries with professional phone etiquette
- Operate multi-line phone systems to direct calls efficiently and assist clients or staff as needed
- Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management software
- Schedule appointments, manage calendars, and coordinate meetings for staff or executives
- Handle correspondence, proofread documents, and ensure accuracy in all written communications
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support customer service efforts by addressing client questions and providing timely support
- Perform clerical tasks such as photocopying, faxing, and organizing office supplies
- Maintain a clean and organized workspace to promote productivity and professionalism
Qualifications
- Proven experience in office administration, clerical work, or related roles
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
- Experience with QuickBooks, calendar management, and bookkeeping is preferred
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills; bilingual abilities are advantageous
- Demonstrated ability to handle multi-line phone systems and provide exceptional customer support
- Attention to detail in proofreading and document management
- Ability to work independently with minimal supervision while managing multiple responsibilities efficiently
- Prior experience as a receptionist (medical or dental), personal assistant, or administrative support is desirable
