Role Description
The Payroll Specialist ensures payroll is processed with speed, accuracy, and exceptional attention to detail. This role serves as a key liaison between employees, internal partners, and external payroll vendors to ensure payroll outcomes reflect company-specific pay policies and regulatory requirements. The Payroll Specialist plays a vital role in maintaining the integrity of payroll data, supporting system improvements, and ensuring compliance across all jurisdictions where Aderant operates—primarily the United States and Canada, with exposure to global payroll processes.
Responsibilities
Payroll Processing & Administration
- Accurately process multi-cycle payrolls, ensuring timeliness and compliance with company policies.
- Audit employee pay records and reconcile payroll totals across departments, locations, countries, and business units.
- Manage payroll adjustments, off-cycle payments, final pay, and corrective entries as needed.
- Serve as the primary point of contact for payroll-related inquiries, providing exceptional support to employees and managers.
Systems & Vendor Management
- Act as liaison with third-party payroll vendors to ensure accurate and efficient payroll operations.
- Support payroll system implementations, integrations, and upgrades, including testing and validation.
- Demonstrate expertise in Workday and UKG payroll, time, and absence modules, assisting with configuration updates and troubleshooting.
Policy Interpretation & Compliance
- Interpret and apply company pay policies, including vacation, flexible time off, leaves of absence, disability, workers' compensation, union agreements (if applicable), tax withholding rules, and other pay-related regulations.
- Ensure correct calculation and application of all earnings, deductions, and tax withholdings.
- Verify ongoing compliance with federal, state/provincial, and local payroll requirements; remain current on legislative changes affecting payroll.
Audit, Reporting & Documentation
- Assist with internal and external audits, including workers' compensation reviews, tax filings, and statutory reporting.
- Prepare, analyze, and reconcile payroll reports for Finance, HR, and leadership.
- Document payroll processes and procedures; recommend improvements for efficiency, accuracy, and compliance.
- Support training of payroll team members and act as backup for specialized tasks, including sales commission calculations, stock option exercises, or SEC-related documentation as assigned.
Global Payroll Support
- Collaborate with global HR and Finance partners to support payroll needs outside the U.S. and Canada, ensuring accurate data
