Job Summary
We are seeking a highly organized and detail-oriented Office Assistant to support our administrative team. The ideal candidate will possess strong computer literacy, excellent communication skills, and the ability to manage multiple tasks efficiently. This role involves handling front desk responsibilities, data entry, filing, and providing exceptional customer service to clients and visitors. Prior office management or clerical experience is preferred, along with proficiency in Microsoft Office, Google Workspace, and QuickBooks. Bilingual abilities are a plus to assist diverse clientele. The Office Assistant plays a vital role in maintaining smooth office operations and ensuring a professional environment.

Duties

  • Greet visitors and manage front desk operations with professionalism and courtesy
  • Answer multi-line phone systems, direct calls, and provide excellent phone etiquette
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Manage calendar appointments and schedule meetings using Microsoft Office and Google Workspace tools
  • Assist with bookkeeping tasks using QuickBooks and handle basic office management duties
  • Support customer service efforts by responding to inquiries via phone or email
  • Maintain office supplies inventory and coordinate procurement as needed
  • Support administrative tasks such as typing correspondence, supporting customer support activities, and managing office documentation
  • Provide personal assistant support to team members when required

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks, data entry, filing, and basic bookkeeping
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Excellent communication skills including phone etiquette and customer service experience
  • Bilingual abilities are highly desirable for assisting diverse clients
  • Previous office management or clerical experience preferred
  • Ability to handle administrative responsibilities such as calendar management, proofreading, and document preparation
  • Familiarity with medical or dental receptionist duties is a plus but not required
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Computer literacy including typing skills and familiarity with multi-line phone systems

Pay: $ $25.00 per hour

Expected hours: 30 – 40 per week
