Responsibilities
- Greet visitors, clients, and vendors with a friendly, professional demeanor, providing exceptional customer service at all times
- Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette
- Maintain organized filing systems
- Perform data entry, proofreading, and document management tasks with precision and attention to detail
- Handle calendar management for appointments, meetings, and events, ensuring schedules are up-to-date and well-coordinated
- Support owners and funeral directors with duties such as help prepare for a funeral service, maintain records and documents, contact insurance companies, supply inventory and order materials, and basic maintenance as it pertains to the cleanliness of the funeral home.
- Assist with bookkeeping tasks using QuickBooks or similar software to support financial record-keeping
- Provide administrative support including email correspondence, answering phones, and managing incoming/outgoing mail
Skills
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Experience with office management tasks such as filing, data entry, and document proofreading
- Excellent customer service skills with a friendly, compassionate attitude, professional demeanor, and proper candor as it pertains to sensitive information and situations
- Familiarity with multi-line phone systems and phone etiquette standards
- Ability to handle confidential information discreetly
- Strong time management skills
- Basic bookkeeping knowledge using QuickBooks or similar software is advantageous
