We are looking for a highly organized, personable, and proactive Front Desk Receptionist to join our practice. As the first point of contact for patients and visitors, this role is essential in creating a positive and welcoming experience. The ideal candidate will deliver outstanding customer service, handle administrative responsibilities with accuracy, and thrive in a fast-paced, patient-focused environment. Key Responsibilities
- Greet and welcome patients and their guests warmly to ensure a positive first impression.
- Manage inbound and outbound calls, emails, and text messages promptly and professionally.
- Schedule, confirm, reschedule, and cancel patient appointments with accuracy.
- Monitor and engage with the practice's social media platforms (Facebook, Instagram, TikTok) to maintain active community interaction.
- Coordinate and promote patient contests, referral programs, and rewards initiatives.
- Keep the lobby and front desk area clean, organized, and presentable at all times.
- Oversee patient check-in and check-out procedures efficiently.
- Collect, post, and record patient payments accurately.
- Build and maintain positive relationships with referring dentists and community partners.
- Send referrals and patient records to oral surgeons or specialists; assist patients in coordinating external appointments.
- Manage the insurance claims process, including filing, tracking, and following up on outstanding claims.
- Generate and review monthly collection and accounts receivable (A/R) reports for both patients and insurance.
Abilities required
- Demonstrates exceptional customer service and the ability to adapt to a variety of personality types
- Possesses strong written, verbal, and interpersonal communication skills, with an ability to actively listen and communicate clearly
- Tech-savvy and proficient in Microsoft Office, with a strong willingness to learn and master any additional software required for the role
The hours are Tuesday 9am-6pm, Thursday 10:15am-7pm.
Expected hours: 16 hours per week
Qualifications
- Proficient in Microsoft Office suite
- Strong computer skills and typing ability
- Excellent communication and phone etiquette
- Previous administrative or front desk experience
