Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team. This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. As the backbone of our administrative functions, you will play a key role in maintaining a professional, welcoming environment while managing a variety of clerical and office management tasks. Responsibilities

  • Assist with calendar management, scheduling appointments, meetings, and coordinating events with attention to detail
  • Provide customer support through excellent phone/ email etiquette and personalized assistance to clients as needed
  • Proofread correspondence and other documents to ensure accuracy and professionalism
  • Maintain office supplies inventory and coordinate with vendors for procurement when necessary
  • Assistant contact for all building maintenance and property management
  • Collaborate with Admin team to ensure backup phone, delivery & appointments are covered
  • Handle clerical tasks such as photocopying, scanning, and mailing

Requirements

  • Confidentiality is of the utmost importance
  • Very strong, clear written and verbal communication skills
  • Strong focus on detail and accuracy
  • Listening to the needs of our clients and providing excellent customer service
  • Emphasis on communication, respect, and team collaboration
  • Proven experience in office management or administrative support roles with strong organizational skills (4+ years of experience preferred)
  • Proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar, Meets), and basic computer literacy
  • Experience with multi-line phone systems and front desk procedures in a professional setting
  • Excellent phone etiquette with the ability to provide outstanding customer service and support
  • Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Professional attitude and appearance
