The Marketing Operations Coordinator focuses on the execution side of marketing—you manage the timelines, the lists, and the logistics that make our campaigns and events successful. This role is the operational backbone of our marketing team, coordinating events and marketing projects and offering executive administrative support to our CEO. This role is perfect for someone early in their career who's energized by variety, loves checking things off lists, and wants to develop a broad skill set in a growing company.
Please note that this is a in-office role based in Birmingham, Alabama with hybrid flexibility.
Essential Marketing Coordinator Duties:
Trade Show & Event Management
· Coordinate logistics for ~20 annual trade shows including registration, travel planning, budget and campaign tracking
· Manage pre-show and post-show planning, vendor relationships, and material preparation
· Coordinate logistics for our annual OHD Sales & Marketing Summit
· Attend 1-2 trade shows per year
Email Campaign Execution
· Build and maintain clean, targeted lists in HubSpot to ensure the right message reaches the right customer profile.
· Manage the mechanics of deployment: Take finished creative assets and set up campaigns within HubSpot, ensuring links work and scheduling is accurate.
· Maintain email marketing calendar and ensure timely execution
· Collaborate on campaign strategy, audience segmentation, and performance analysis with the Marketing Manager
Video & Photography Coordination
· Assist with planning and executing video and photography shoots for marketing content
· Build video content calendar in partnership with the Marketing Coordinator
Executive Assistance and Event Management
· Plan and coordinate guest visits and executive events for our CEO or Executive Management team
· Manage travel arrangements, agendas, and event logistics by vendors, partners, associates, etc. as needed by CEO or Executive Management team
· Serve as point person for coordination of executive-level meeting preparation, coordinating with internal teams
QUALIFICATIONS:
SKILLS & KNOWLEDGE:
Required:
· years of experience in marketing, project management, event coordination, or related field
· Exceptional organizational skills and ability to manage multiple projects simultaneously
· Strong written and verbal communication skills
· Proven track record of meeting deadlines in a fast-paced environment
· Experience with project management tools (Asana, Notion, , or similar)
· Proficiency in Google Workspace or Microsoft Office Suite
· Ability to work in-office full-time (with remote flexibility)
Preferred:
· Experience with HubSpot (CRM and email marketing tools)
· Background in email marketing or campaign execution
· Basic video editing and photography skills
· Familiarity with Canva or other design tools
· Trade show or event planning experience
· Experience with digital asset management
· Willingness to travel occasionally for trade shows (1-2 times per year)
