We are seeking a highly organized, professional, and motivated Administrative Assistant to provide pivotal support to our management and operations team and maintain the efficiency of our back-office operations.

Job Summary
The ideal candidate will be the organizational backbone of our office, handling a variety of administrative and clerical tasks to ensure the smooth operation of our daily business processes. This person will manage client communications, maintain essential financial records, and ensure all documentation is handled with precision.

Key Responsibilities

  • Communication Management: Serve as the primary point of contact for incoming client inquiries via phone and email, managing leads, and directing communication to the appropriate team members.
  • Documentation & Proposals: Prepare, edit, and distribute essential business documents, including contracts, invoices, and detailed PDF proposals, ensuring 100% accuracy and professional formatting.
  • Data & Records Management: Utilize Microsoft Excel to manage client & event databases, input financial data, track inventory information, and process vendor invoices.
  • Office Organization: Create and maintain efficient electronic filing systems for all business records and reports, safeguarding confidential information.
  • General Administration: Perform general office duties, including scheduling internal meetings, managing the company calendar, ordering office supplies, and handling mail correspondence.

Qualifications *Proven experience (3-5 years) in a dedicated administrative support or office management role.

  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook) and creating/managing PDF files.
  • Exceptional written and verbal communication skills in English; bilingual skills (English/Spanish) are highly desirable.
  • Strong organizational skills, acute attention to detail, and the ability to manage multiple tasks and deadlines in a fast-paced environment.
  • A professional and poised demeanor when handling confidential information and interacting with clients and team members.
  • Reliable, self-motivated, and capable of working independently with minimal supervision.

Experience

  • Prior office experience or administrative support roles demonstrating strong organizational skills and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation and communication.
  • Experience with multi-line phone systems and handling high-volume calls efficiently.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Knowledge of QuickBooks, Excel, or similar bookkeeping software is a plus for handling invoicing and basic financial tasks.
  • Familiarity with medical or dental receptionist duties is advantageous but not required; relevant clerical or customer support experience is valued.
  • Strong time management skills with the ability to prioritize tasks in a fast-paced environment while maintaining accuracy in data entry and proofreading. Pay: $ $28.00 per hour
