Satetrfield & Pontikes Construction is seeking a highly organized and proactive Executive Assistant to provide high level support to our executive leadership team in Houston. The ideal candidate is someone who thrives in a fast-paced environment, anticipates needs before they arise, and ensures smooth day-to-day operations through strong communication, and professionalism.
Essential Job Functions
- Provides high-level administrative support and assistance to Executive leadership and/or other executives across both business and personal matters.
- Demonstrates strong attention to detail and ensures accuracy in all tasks and deliverable.
- Act as a gatekeeper to protect executives' time and energy, managing access and filtering requests with sound judgment and diplomacy.
- Manage highly complex calendars, proactively scheduling and prioritizing meetings, travel, appointments, and personal commitments.
- Ensure daily priorities and strategic objectives are reflected in the schedule; proactively adjust plans as needed.
- Arrange and oversee complex travel itineraries for both professional and personal trips, including accommodations, flights, ground transport, and family travel logistics.
- Performs clerical and administrative tasks, including drafting letters, memos, invoices, reports, and other documents for executives.
- Uphold the highest standards of integrity and confidentiality—handling all sensitive information, from corporate data to personal matters, with discretion and responsibility.
- Function as an extension of the executive's presence, maintaining alignment with values, priorities, and leadership tone in all interactions.
- Serve as a dependable and trusted partner, providing unwavering reliability in managing competing demands and complex logistics.
- Schedule and attend meetings on behalf of executives, take notes, and record minutes.
- Receives incoming communication or memos on behalf of executives, reviews content, determines importance, and summarizes and/or distributes content to appropriate staff.
- Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
- Performs additional duties as assigned by executives
Required Skills and Qualifications
- High school diploma required, bachelor's degree in business administration or related field preferred.
- At least four years of related experience required.
