We are seeking a detail-oriented Office Coordinator to join our team and support both our administrative and program operations.
Position Summary
The Office Coordinator will serve as the first point of contact for our office, providing professional front-office support and coordinating recruitment, hiring, and orientation processes. This role is central to keeping the office organized and ensuring smooth communication between staff, applicants, and leadership.
Key Responsibilities
Front Office & Agency Communication
- Provide clerical support, including answering multi-line phone systems, managing front desk operations and greeting visitors.
- Maintain a professional and welcoming office environment.
- Monitor office supplies and coordinate ordering as needed.
- Facilitate communication between the agency to enhance workflow efficiency.
Recruitment & Hiring
- Draft and post job openings on Indeed and other platforms.
- Screen resumes and forward qualified applicants to leadership.
- Schedule and complete interviews and maintain applicant communication.
Onboarding & Orientation
- Collect pre-employment paperwork, clearances, and references.
- Schedule and support new hire orientation sessions.
- Maintain accurate employee records and personnel files.
- Assist with other human resources functions regarding onboarding new employees and managing payroll processes as needed.
Administrative Support
- Assist the administrative team with day-to-day office needs.
- Track due dates for staff training, credentials, and compliance documentation.
- Support the Compliance Coordinator in maintaining state regulatory standards.
- Coordinate and plan office events, meetings, and training sessions.
- Supervise and support office staff, fostering a collaborative work environment.
- Maintain organized filing systems for both physical and digital documents.
Qualifications
- High school diploma or equivalent (Associate's or Bachelor's degree preferred).
- Prior experience in office administration, human resources, or recruitment.
- Knowledge of PA 6400/6100 Regulations
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Experience with Indeed or similar hiring platforms.
- Ability to maintain confidentiality and handle sensitive information.
Schedule & Compensation
- Full-time, Monday – Friday, 8:30 AM – 5:00 PM.
- Competitive hourly wage.
- Benefits package available after probationary period.
