About the Role:
We are seeking a highly organized and proactive
Project Coordinator
to support our Project Manager and project teams on
transmission, distribution, and substation construction projects
. This onsite role plays a key part in ensuring smooth project execution, maintaining accurate documentation, and facilitating communication across internal teams, field personnel, clients, and vendors.
Key Responsibilities:
Assist Project Manager with day-to-day project activities, scheduling, and task tracking.
Prepare, organize, and maintain project documentation, including schedules, meeting notes, submittals, RFIs, change orders, and closeout materials.
Coordinate with field teams to collect progress updates, time sheets, and reports.
Track project milestones, deliverables, and deadlines to ensure timely completion.
Support procurement activities, including preparing purchase orders, tracking material deliveries, and coordinating with suppliers.
Assist in budget tracking and cost documentation.
Facilitate communication between office staff, field crews, subcontractors, and clients.
Schedule meetings, prepare agendas, distribute action items, and follow up on next steps.
Support safety documentation and compliance tracking.
Help maintain project management systems, logs, and databases.
Qualifications:
- 2+ years of experience in project coordination, preferably in construction or electrical utility projects (T&D or substation experience a plus).
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook); experience with project management software is a plus.
- Detail-oriented, proactive, and able to work independently while supporting a team.
- Ability to work full-time onsite Monday–Friday in Irvine, CA.
