Derma Beauty Clinic is a leading global aesthetic and body-sculpting brand specialising in advanced dermal filler techniques, Liquid BBL, facial balancing, and cutting-edge non-surgical procedures. We are seeking an experienced Medspa Operations Manager to support our rapid growth across the USA. This role requires a highly organised, results-driven leader who thrives in a fast-paced, luxury clinical environment.

Key Responsibilities

Clinic Operations & Compliance

  • Oversee daily operations of all USA locations, ensuring smooth workflow and exceptional patient experience.
  • Ensure full compliance with state-specific medical regulations, OSHA, HIPAA and facility requirements.
  • Maintain and enforce SOPs, treatment protocols, safety standards and emergency procedures.
  • Manage relationships with collaborating physicians and ensure required supervision/agreements are always up to date.

Staff Management & Training

  • Oversee nurse injectors, medical assistants, reception/concierge staff, and support teams.
  • Lead onboarding, performance reviews, uniform/appearance standards, rota planning and HR compliance.
  • Ensure all team members deliver consistent, luxury-level service aligned with Derma Beauty Clinic branding.
  • Identify training needs and coordinate advanced filler, safety, customer service and sales training.

Patient Experience & Customer Service

  • Ensure all patients receive a seamless 5-star experience from booking to aftercare.
  • Handle elevated complaints, refunds, and correction requests professionally and in line with company policy.
  • Monitor Acuity scheduling, patient flow and waiting times to optimise efficiency.

Business Growth & Performance

  • Track KPIs: revenue, average treatment value, conversion rates, staff performance, and retention.
  • Support expansion into new USA markets (Miami → NYC → LA → Houston).
  • Assist with grand openings, pop-up events, staff travel logistics and cross-location coordination.
  • Monitor stock, filler inventory, LOT number logging, and vendor relationships.
  • Implement efficiency improvements to reduce wait times and increase clinic capacity.

Marketing & Brand Alignment

  • Work with the CEO and marketing team to ensure each clinic maintains brand standards.
  • Support content days, patient testimonials, before/after capture procedures and influencer partnerships.
  • Ensure all promotional offers, signage and patient communications align with USA regulations.

Financial Oversight

  • Assist with budgeting, payroll coordination, refund authorisation workflows and expense tracking.
  • Monitor daily payments, cash reconciliation, and correct recording of Zelle/Card/Financing transactions.
  • Reduce financial loss due to no-shows, correction work, stock wastage, or operational inefficiencies.

Skills & Experience Required

  • Experience in medspa, aesthetic clinic, cosmetic dermatology or plastic surgery setting.
  • Strong understanding of dermal fillers, injectables, patient safety and aesthetic procedures (non-clinical role).
  • Highly organised, great at multitasking, solution-focused and calm under pressure.
  • Strong leadership and people-management ability.
  • Confident with CRM systems, scheduling platforms and basic financial reporting.
  • Excellent communication, patient handling and conflict-resolution skills.
  • Knowledge of USA medical regulations (Florida preferred but multi-state experience is ideal).

Preferred Qualifications

  • 3+ years in medspa or clinical operations leadership.
  • Experience working with nurse injectors and understanding scope-of-practice rules.
  • Background in luxury service/hospitality is a plus.
  • Ability to travel for openings, staff cover and training days.

  • $110,000 base salary depending on experience + performance bonuses.
