Mission of the Role:
We are seeking a highly organized, tech-savvy, and impactful Executive Assistant who will serve as a trusted partner to senior level executives. This role goes beyond traditional administrative support—acting as a Chief of Staff, driving operational excellence, leveraging AI tools for productivity, and ensuring alignment across critical priorities in a fast-paced, technology-driven automotive environment.
Key Objectives of this Role:
Executive Support & Coordination
- Manage complex calendars, scheduling, and prioritization for senior level executives.
- Coordinate travel arrangements, expense reporting, and logistics with precision.
- Prepare executive briefings, presentations, and reports for internal and external stakeholders.
- Serve as the primary point of contact for internal teams and external partners.
Business Partner Responsibilities
- Act as a thought partner to senior level executives, ensuring alignment on priorities and initiatives.
- Drive follow-up on key decisions, projects, and deliverables across.
- Facilitate cross-functional communication and collaboration between leadership teams.
- Support preparation for board meetings, special events, and leadership offsites.
AI & Productivity Enablement
- Utilize AI tools and automation platforms to streamline workflows (e.g., meeting summaries, data analysis, document drafting).
- Identify and implement digital solutions to improve efficiency and decision-making.
- Train and guide teams on leveraging AI-driven productivity tools.
Project Management & Analytics
- Track and report progress on strategic initiatives, KPIs, and operational metrics.
- Conduct research and provide insights to support executive decision-making.
- Manage special projects with minimal supervision, ensuring timely and high-quality outcomes.
Key Performance Indicators:
- Ensure calendar accuracy and proactively resolve scheduling conflicts.
- Optimize travel arrangements and streamline expense report processing for faster turnaround.
- Deliver high-quality materials and readiness for executive meetings/engagements.
- Uphold zero breaches and strict adherence to policies.

Key Year One Deliverables:
- Improve executive office efficiency for supporting group of executives.
- Implement at least one AI-driven process improvement (e.g., automated scheduling, document drafting, expense reporting).
Qualification, Experience and Skills:
- Minimum 5+ years of direct support experience or applicable executive assistant experience supporting SVP-level leader in a global business
- Experience using Microsoft Office 365, AI tools & applications.
- Experience supporting multiple leaders.
- Excellent communication skills with ability to build strong relationships with both internal and external stakeholders.
- Demonstrated ability to prioritize leaders' calendars with ability to make judgment calls and decisions based on rapidly shifting priorities.
- Proven ability to work in a fast paced, often changing environment with efficiency and accuracy.
- Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight.
- Strong organizational skills with a strong attention to detail.

- Bachelor's degree or equivalent practical experience.
