Overview
We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be proactive, highly organized, and possess excellent communication skills, technical skills and ready to handle multiple tasks efficiently while maintaining a positive and professional demeanor.

Responsibilities

  • Greet visitors and clients warmly, providing outstanding customer service and ensuring a positive first impression
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle front desk duties including scheduling appointments, managing mail, and maintaining a tidy reception area
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Handle confidential information with discretion and integrity.
  • Utilize computer skills in Microsoft Office, Google Workspace, and QuickBooks for administrative tasks such as invoicing, bookkeeping, and report generation
  • Assist with calendar management and scheduling for team members or executives, coordinating meetings efficiently
  • Support office management activities by maintaining supplies inventory, managing office equipment, and supporting clerical functions such as photocopying and faxing

Requirements

  • Proven office experience or clerical experience with strong organizational skills and attention to detail (minimum 1 year)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with multi-line phone systems and excellent phone etiquette skills
  • Bilingual
  • Experience with QuickBooks or basic bookkeeping is a plus
  • Strong typing skills with high accuracy; ability to perform data entry swiftly
  • Excellent customer service skills with a friendly demeanor and professional communication style
  • Ability to manage time effectively in a fast-paced environment while prioritizing tasks
