Position Overview

Krate Tactical is seeking a detail-oriented, technically minded Customer Service & Data Entry Specialist to join our team. This role complements our existing customer service representative (Anna) by focusing on systems, process execution, and data management while still engaging directly with customers as needed.

You'll be the backbone of our customer service operations — ensuring information flows accurately between customers, repair technicians, and our internal tools. Over time, this position may develop into a supervisory or team leadership role as the department grows.

Success Looks Like

  • Customer data and tracking systems are clean, accurate, and well-documented.
  • Email, phone, and software workflows run efficiently and consistently.
  • Reports and dashboards provide meaningful insight to the team and management.
  • Anna is freed up to focus on customer relationships and product repairs, while this role ensures everything behind the scenes runs efficiently and plugs gaps as needed.

Key Responsibilities:

Customer Service Support

  • Communicate professionally with customers by email or phone to resolve inquiries and coordinate repairs.
  • Triage and document incoming repair requests, warranty claims, and service data accurately.
  • Provide backup customer communication support when volume is high or staff are out.
  • Maintain consistent and helpful tone aligned with our brand.

Data Entry & Systems Management

  • Enter and manage data within customer service and repair tracking systems.
  • Maintain organized digital records for customer correspondence, invoices, and warranty documentation.
  • Track daily and weekly metrics (volume, response time, repair time, satisfaction).
  • Build and maintain Google Sheets or other reports for team and leadership use.

Operational Excellence

  • Standardize processes and documentation to ensure accuracy and consistency in service delivery.
  • Identify workflow inefficiencies and propose system improvements.
  • Coordinate with IT or leadership to refine tools, data pipelines, and reporting.
  • Maintain departmental SOPs and training materials.

Quality Assurance

  • Audit repair logs and customer data for completeness and accuracy.
  • Generate internal reports highlighting trends or recurring issues for proactive fixes.
  • Partner with Anna and the repair team to ensure every customer issue is resolved and documented fully.

Qualifications

Education: Associate's or Bachelor's degree preferred, or equivalent experience.

Experience: 2+ years in customer service, administrative, or operations support role. Experience managing data and documentation in service or repair environments a plus.

Skills:

  • Excellent written and verbal communication.
  • Strong attention to detail and organization.
  • Intermediate to advanced knowledge of Google Sheets and basic data formulas.
  • Comfortable learning and navigating multiple software systems.
  • Confidence working independently and managing large volumes of information.
  • Professional customer manner (email and phone).
  • Self-starter with a proactive approach to problem-solving and customer service

Preferred Qualifications:

  • Experience in the tactical, knife, or firearms industry
  • Experience with Odoo or other ERP programs
