Job Summary
As an Administrative Assistant, you will provide high-level administrative support by

handling information requests, performing clerical functions such as preparing

correspondence, providing updated data to the direct supervisor and organizing

communication. This role will focus on facilitating carrier appointments, maintaining

underwriting guidelines, and ensuring compliance with carrier and company policies.

This role requires excellent organizational skills, attention to detail, and the ability to

manage multiple tasks efficiently.

Duties

  • Responds to general franchisee inquiries and calls.
  • Prepares correspondence, reports and other documentation.
  • Performs record keeping tasks.
  • Write and distribute emails, correspondence memos, letters, and forms
  • Preparation of regularly scheduled reports with an extensive knowledge in reporting systems (excel, spreadsheets, pivot tables, google docs, etc)
  • Act as a point of contact for internal and external clients
  • Handle sensitive information in a confidential manner
  • Maintain contact databases
  • Handle requests for information and data
  • Provides preliminary review and routing of documents.
  • Assist in the processing of new carrier appointments for franchise agencies, ensuring all required documentation is complete.
  • Maintain up-to-date records of carrier appointments and login credentials.
  • Serve as a liaison between franchise agencies and carriers, addressing questions and resolving appointment-related issues.
  • Assist in the maintenance of login credentials for franchise agencies.
  • Support the implementation and communication of carrier underwriting guidelines to franchise agencies by maintaining the franchise database for information.
  • Keep agencies informed about changes in carrier policies, rate structures, and product offerings.
  • Provide administrative support for agency operations, including data entry and carrier documentation.
  • Assist with internal database audits and quality data retention processes.
  • Work with internal teams to streamline operational workflows and enhance efficiency.
  • Willing to perform all other duties as assigned.

Requirements

  • Bilingual (English and Spanish) – preferred
  • High school diploma or equivalent; college degree preferred
  • Proven experience as an Administrative Assistant
  • Proficiency in Google Suites (Excel, spreadsheets, google docs, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Familiarity with online calendars and cloud systems
  • Ability to work independently and collaborate with cross-functional teams.
  • Basic knowledge of insurance carrier appointments and underwriting principles is a plus.

Pay: $ $22.00 per hour
