Position Summary: The White Moustache is a Brooklyn-based, small batch creator of handmade yogurt. We're looking for an endlessly resourceful assistant to help our administration team keep our factory operations humming. The Administrative Assistant will partner with team managers to support office management, administrative coordination, and process improvement.

Schedule: Monday - Friday (Approximately 35 hours per week)

General Responsibilities

  • Scan, organize, and electronically file incoming bills, invoices, and POs.
  • Collect, sort, and distribute incoming mail and deliveries; prepare outgoing mail as needed.
  • Maintain organized digital and physical filing systems to ensure easy retrieval of information.
  • Assist with scheduling meetings, appointments, and conference room bookings.
  • Support data entry, recordkeeping, and database management tasks.
  • Monitor and maintain office supplies; track inventory as required.
  • Provide general administrative support to department managers and team members.
  • Help coordinate internal communications and circulate updates across departments.
  • Greet visitors and answer phone calls or emails, directing inquiries to the appropriate staff.
  • Assist with organizing company events, trainings, or staff meetings as needed.

Skills

  • Highly proficient in Microsoft Office and Google Workspace applications, with advanced skills in Excel and Sheets.
  • Familiar with (or willingness to learn) project management and business communication tools such as Slack, Notion, and ReTool.
  • Demonstrated ability to take initiative, work independently, and see projects through from start to finish.
  • Strong problem-solving skills with a proactive, adaptable approach — willing to learn quickly from challenges and apply feedback effectively.
  • Excellent written and verbal communication skills with a focus on clarity, professionalism, and collaboration.

Experience

  • At least 3 - 4 years of experience in a similar administrative or office support role, preferably with a company that produces custom or handcrafted products — for example, in arts and crafts, beauty and fashion, or furniture design. Experience in hands-on, creative businesses like restaurants, bakeries, or microbreweries is also a great fit.

Pay: $22.00 per hour
