Position Overview
We are seeking an experienced and detail-oriented Human Resources Assistant with 2–5 years of experience to support our HR department operations.
Unlike an entry-level role, this mid-level position requires a candidate who can work independently with minimal supervision. You will hold expanded responsibilities in workers' compensation coordination, serving as a subject matter expert for claims processing and safety compliance.
Key Responsibilities
Workers' Compensation Management (Key Focus)
- Primary Point of Contact: Act as the main liaison for workers' compensation matters, ensuring timely and effective communication between injured employees, managers, and the insurance carrier.
- Claims Administration: Independently handle the intake, documentation, and timely submission of workers' compensation claims.
- Case Management: Track claim progress, actively follow up on open cases, and update internal logs to ensure strict compliance with reporting deadlines.
- Return-to-Work: Coordinate medical evaluations, modified duty assignments, and return-to-work processes in collaboration with Operations management.
- Compliance & Safety: Maintain organized workers' compensation files to ensure compliance with state and federal regulations. Assist with quarterly safety and injury trend reporting to identify opportunities for improvement.
HR Administration & Operations
- Data Integrity: Review and enter employee data into the HRIS database; verify accuracy by auditing entries against source documents.
- Records Management: Maintain accurate, up-to-date employee records, including new hire packets, corrective actions, performance evaluations, and training documentation.
- Employee Relations: Provide timely, professional responses to employees and Operations management regarding HR inquiries, policies, and procedures. Assist in the investigation and resolution of workplace complaints as assigned.
- Culture: Plan and execute company events such as employee recognition gatherings and monthly celebrations.
- Compliance & Reporting
- Unemployment: Monitor unemployment claims by reviewing claims, verifying employee status, and completing required forms accurately and on time.
- Audit Support: Support ad hoc HR reporting, audits, and compliance requests.
- Incident Reporting: Support incident investigations by collecting statements, reviewing reports, and preparing preliminary documentation.
Qualifications
- Experience: 2–5 years of related experience in Human Resources.
- Specialized Experience: Experience supporting workers' compensation processes is highly preferred and critical for this role.
- Education: Associate Degree in Human Resources or related field.
- Technical Proficiency: Intermediate proficiency in MS Office (especially Excel) and HR/HRIS software is required. Familiarity with Dayforce HRIS is a plus.
- Language: Bilingual English/Spanish is preferred.
