Description:

The Appointment Coordinator must coordinate, integrate and represent all facets of patient services. This position meets and greets patients and makes them feel welcomed and relaxed. In addition, the Coordinator must answer the telephone, schedule appointments, communicate with patients regarding financial and scheduling options, maintain patient records and coordinate patient flow. This position must manage and control the daily, weekly, and monthly schedule in order to meet the practice production and collection goals. Finally, the Appointment Coordinator must compile data and operate office equipment to maintain business records and reports.

Qualifications:

  • Understand and comply with policies and procedures associated with a dental practice.
  • Understand and comply with HIPAA regulations.
  • Understand and comply with the HI-TECH Act of 2009.
  • Keep informed and updated on OSHA regulations.
  • Bilingual preferred
  • Dental and Orthodontic experience recommended

Essential Functions:

  • Understand and use written information that may be presented in a variety of formats, such as text, tables, lists, figures, and diagrams; select reading strategies appropriate to the purpose, such as skimming for highlights, reading for detail, reading for meaning, and critical analysis.

Physical Requirements:

While performing the duties of this job, the employee is required to do detailed work, using arms, hands, and fingers to manipulate the required office equipment. The employee intermittently is required to sit, stand, walk, stoop, bend and reach throughout the day. Good eye-hand coordination and manual dexterity is needed. Specific vision abilities include close vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Must be physically able to administer CPR.

Duties:

Patient Services

  • Schedule patient appointments based on patient needs and availability within the Dentist's schedule.
  • Schedule forward 6 months of recall appointments.
  • Re-schedule appointments based on the patient's and the Dentist's needs when a conflict arises within the schedule.
  • Greet persons entering the establishment, determine the nature and purpose of the visit, and direct or escort them to specific destinations.
  • Organize the next day's charts; include a copy of the schedule and place in the designated spot for the clinical staff to review.
  • Keep patients informed of expected waiting time if the Dentist is behind schedule.
  • Keep the staff and the Doctor informed of the next available opening; time allotted for emergency patients, and possible no-shows.
  • Record broken appointments and last-minute cancellations in the patient chart.
  • Monitor all operatories and ensure parents/patients are satisfied.
  • Analyze data to determine answers to questions from patients or members of the public.
  • File and maintain patient records.

Finance

  • Check the day sheet against patient clinical notes, the router slips, and balance daily deposits.
  • Complete daily production, collection, and deposit reports.

Information and Communication Technology

  • Maintain proficiency in working with the office equipment and computer software used by the practice.
  • Transmit information or documents to patients, using computer, mail, or facsimile machine.

Job Types: Full-time, Part-time

Pay: $ $20.00 per hour

Expected hours: 30 – 40 per week
