About Us:
Best Dental Spa in Hoffman Estates, IL, is a premier dental practice that blends the art of dentistry with the luxury of a spa experience. We are committed to providing our patients with top-tier care in a relaxing and comfortable environment. Our dedicated team is passionate about delivering an exceptional experience for our patients, and we are looking for an experienced Office Manager to join us in continuing to grow and provide outstanding service.

Position Summary:
We are seeking an Office Manager who will take full ownership of the daily operations of our dental office. As a key member of our team, you will manage all aspects of the office, from patient scheduling and billing to ensuring that the front office runs efficiently. This is a high-responsibility role where the office manager is expected to treat the practice as their own, demonstrating leadership, accountability, and a commitment to excellence.

We are looking for someone who puts our practice first and is committed to a long-term relationship with us. Key Responsibilities:

  • Oversee the daily operations of the dental office, ensuring efficiency and an exceptional patient experience.
  • Supervise and guide the front office team, managing their tasks, schedules, and performance.
  • Ensure the practice runs smoothly, from appointment scheduling to patient flow, and that every patient is treated with care and respect.
  • Handle billing, insurance verification, and claims processing with accuracy and attention to detail.
  • Monitor office supplies, inventory, and ordering.
  • Communicate with patients about scheduling, reminders, and follow-ups in a professional and welcoming manner.
  • Ensure compliance with all legal and regulatory requirements, including HIPAA and OSHA standards.
  • Provide consistent leadership, motivating the team to meet daily objectives and maintain a positive office atmosphere.
  • Manage financial tasks, including accounts payable and receivable, and work to maintain office profitability.
  • Work closely with the clinical team to ensure seamless coordination of patient care and office operations.
  • Help implement and support marketing efforts to maintain and grow our patient base.
  • Continuously evaluate office systems to identify opportunities for improvement and efficiency.

Qualifications:

  • Proven experience in dental office management is preferred.
  • Strong understanding of dental office procedures, billing, insurance, and coding.
  • Excellent leadership and team management skills, with the ability to inspire and motivate others.
  • Strong problem-solving abilities and ability to work well under pressure.
  • Proficient in dental management software (Dentrix, Eaglesoft, etc.) and Microsoft Office Suite.
  • High attention to detail, organizational skills, and accuracy.
  • Solid knowledge of HIPAA and OSHA regulations.
  • Excellent customer service and communication skills.
  • Ability to work independently with minimal supervision and handle responsibilities as if the office were your own.
  • High school diploma required; certifications in office management or dental-related fields are a plus.

Why Work at Best Dental Spa?

  • Be part of a modern, high-end dental spa with a focus on patient comfort and care.
