EMC Immigration Law, LLC is seeking a bilingual (English/Spanish) Receptionist / Administrative Assistant to join our growing team. This role provides essential support to our immigration attorneys and paralegals while serving as a primary point of contact for our clients.
This is a full-time, in-person position based in our St. Louis, Missouri office. Our office operates on weekdays only — no evenings or weekends are required.
We are a small immigration law firm with two attorneys and five staff members. Our current receptionist is relocating out of state, and we are looking to hire someone to start in January (ideally the week of January 5).
Our firm represents individuals and businesses in immigration matters before U.S. immigration courts and government agencies. We are committed to providing compassionate, client-centered legal services and take pride in the care we provide to our clients and the results we achieve.
This position is the foundation of our firm's daily operations and client experience. As the first point of contact for most of our clients, this role is ideal for someone who is kind, outgoing, professional, highly organized, and passionate about helping immigrant communities. Strong communication skills and a warm, welcoming demeanor are essential.
Key Responsibilities:
· Answer incoming calls and direct them to the appropriate staff member or attorney.
· Conduct intake for potential new clients, gathering essential information and ensuring a welcoming experience.
· Manage administrative aspects of client cases, including:
o Contacting clients
o Scheduling and confirming appointments
o Assisting with case closings and other administrative tasks
o Maintaining accurate and up-to-date case records by documenting client communication in the client management system.
o Translating documents and communications between English and Spanish, ensuring accuracy and clarity.
o Managing office supplies and reorder items as necessary to ensure smooth operations.
· Provide support to attorneys, administrative staff, and other legal team members as needed.
Necessary Skills and Experience:
· Bilingual in English and Spanish: fluent written and verbal communication skills in both languages required.
· Education: Associate or bachelor's degree preferred.
· Client-focused: Friendly, professional, and compassionate, with a genuine interest in helping immigrant communities. Ability to and interest in working closely with clients from diverse backgrounds.
· Organized and detail-oriented: Strong attention to detail and ability to keep track of deadlines and tasks. Ability to manage multiple tasks, keep accurate records, and follow up promptly.
· Tech-savvy: Comfortable using client management systems, email, Microsoft Word, Google calendar, and basic office technology.
· Team player: Willingness to assist attorneys, paralegals, and legal staff as needed.
· Professional: Maintains confidentiality of sensitive client information.
· Adaptable: Able to thrive in a fast-paced environment and adjust to shifting priorities.
Wages and Benefits:
· Pay: Starting at $20/hour, dependent on experience (DOE). Candidates with 1+ year of immigration intake experience may be eligible for higher starting pay.
· Possibility of quarterly bonuses: Based on firm revenue and performance.
· Health insurance: Monthly ICHRA stipend of up to $600 for employee coverage (typically covers most Gold-level plans) and approximately 50% of dependent premiums.
· Flexible Fridays: Option to work from home or in the office on Fridays.
· Paid time off: Approximately 5 weeks per year, including 15 flexible personal PTO days, fixed company holidays, and additional monthly three-day weekends on the months when there is no federal holiday.
· Retirement contributions: Employer-supported retirement plan.
