Overview
We are seeking a dedicated Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our community services office by providing administrative support and excellent customer service to members.

Responsibilities

  • Maintains confidentiality of member information.
  • Communicates effectively on the telephone with members, families and staff.
  • Manages incoming, outgoing and interoffice mail.
  • Performs typing, faxing and coping tasks as requested for various staff persons.
  • Inputs data into computer for billing purposes.
  • Orders and maintains accurate records of supplies.
  • Responsible for informing staff of any changes, updates, etc., regarding visits, schedules; and office meetings.
  • Responsible for gathering and recording staff members' daily records, i.e., mileage, visit times, etc.
  • Tracks authorizations, assessments and other forms on all members.
  • Responsible for assisting with audits of member information.
  • Maintains accurate mailing lists of employees, members and contractors.
  • Performs other necessary functions/duties as assigned by the Director or Administrator.

Qualifications

  • Minimum of high school diploma.
  • Bilingual in English & Spanish
  • Preferably with office and computer/data entry background.
  • General knowledge of professional writing and office procedures.
  • Ability to establish and maintain effective working relationships.
  • Ability to meet the public and staff as a positive, friendly and professional representative of the agency.
  • Effective social interaction, communication and organizational skills and the ability to perform a variety of tasks efficiently.
  • Personal car for travel and valid driver's license.
  • Carry personal auto liability insurance coverage.

Job Type: Full-time

Pay: $ $22.00 per hour

  • Customer service: 1 year (Required)
  • Computer skills: 1 year (Required)
