OPPORTUNITY OVERVIEW: ADMINISTRATIVE ASSISTANT
Supports Area Director in collecting information, performing clerical functions, and completing administrative duties as assigned. Plan and coordinate supportive services of the Club, such as record keeping, mail distribution, and other office support services. Support Area Director with MyClubHub, member and other youth served data management and impact-measurement initiatives. Prepare correspondence and reports, maintain schedule and calendar, answer telephone and maintain electronic and hard copy files. Answer inquiries and obtain information for general public, visitors and other interested parties. May serve as greeter, kid check in and/or staff the club front desk reception. Help facilitate overall efficiency of professional office functions, and core BGCA programing. May be required to support multiple club sites.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide engaged presence to prepare youth for success while creating a safe and healthy Club environment that facilitates positive youth development
- Ensure that facilities, equipment, and first aid, janitorial and office supplies are maintained
- Contribute to planning, developing, implementing and evaluating programs
- Support a productive work environment
- Represent the club to all visitors with a professional and positive demeanor
- Participate in special programs or events as directed by club director
- Manage membership lists
- Retrieve invoice summaries and data reports from Dash database
- Work with Marketing and Communications to make updates to website
- Demonstrate strong emotional intelligence and maintain a professional presence in high stress situations
RELATIONSHIPS:
Internal: Maintain close, daily contact with club staff (professional and volunteer), club members, and supervisor. Communicate daily to receive/provide information, discuss issues, explain or interpret guidelines/instructions.
External: Support external contact as needed with community groups, schools, member's parents and others as directed by supervisor.
QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES:
- High School diploma or GED required
- Youth development experience preferred
- Ability to objectively draft professional correspondence
- Previous administrative or office experience is preferred
- Current CPR and First Aid Certifications or ability to obtain within 90 days of hire
- Knowledge and/or experience working with a non-profit youth development agency preferred, Boys & Girls Club experience preferred
- Functional literacy with Microsoft Office Suite
- Good organization and attention to detail, professional presence, strong customer relations skills and ability to maintain strict confidentiality
- Strong analytical and problem solving skills
- Ability to learn and implement new ideas for the good of the organization
- High level verbal and written communication skills
- Ability to multi-task
HOURS: Full-Time, 40 hours per week. Varies depending on program need.
FLSA: Hourly, Non-Exempt Position
