Über

Our Distribution group is currently looking to add an Executive Assistant to the team, based in our Vaughan, ON office.

Reporting to the Vice President, Distribution, this position will support the Vice President and Director for the Eastern Distribution group. This will be a very dynamic role where the everyday tasks and requirements are constantly evolving to make sure all our leaders and staff feel supported.

Duties and Responsibilities
  • Perform clerical and administrative tasks, such as copying, faxing, mailing, filing, drafting letters, creating organizational charts, spreadsheets, reports, and other documents
  • Assist Distribution Executives with their agenda / calendar to prioritize meetings and solve any scheduling conflict and take notes / meeting minutes as needed.
  • Request and organize client meetings, including meeting room bookings, virtual conferencing needs, catering, etc.
  • Arrange travel accommodations for executives such as booking flights, hotels, car rentals, meeting rooms, etc.
  • After-hours support may be needed when the executives are traveling as itinerary changes may be required
  • Submit company credit card reconciliations, expense claims, and health claims for executives and obtain approvals for their direct reports
  • Create and maintain records client information, industry contacts, travel documents
  • Provide a bridge for smooth communication between executives and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff

Requirements

  • Post-Secondary education in a related field
  • 10 years experience in a Senior Administrative role
  • Proven experience supporting Executive level resources
  • Advanced computer skills in Microsoft Office products and Adobe Acrobat
  • Experienced with booking tools such as Concur and/or Etta
  • Excellent oral and written communication skills
