We are seeking a dynamic and organized Homecare Office Manager to lead our administrative operations and ensure seamless delivery of home health services. This vital role combines office management, team supervision, and coordination of clinical and administrative functions. As the cornerstone of our homeware team, you will foster a positive environment, streamline processes, and uphold the highest standards of communication and efficiency. Your energetic leadership will drive operational excellence, support staff development, and enhance patient satisfaction.
Responsibilities
- Oversee daily office operations, including scheduling, filing, front desk management, and multi-line phone systems to ensure smooth communication flow.
- Supervise administrative staff, including clerical personnel and front desk team members, providing training and ongoing development opportunities.
- Manage calendar scheduling for clinicians, appointments, meetings, and training sessions to optimize workflow.
- Handle human resources functions such as payroll processing, employee onboarding, performance evaluations, and maintaining personnel records.
- Maintain accurate bookkeeping records and oversee budgeting activities to ensure fiscal responsibility.
- Facilitate medical office management tasks including patient record filing, documentation compliance, and coordination with healthcare providers.
- Develop event planning initiatives for staff meetings, community outreach programs, or health education events to promote team engagement.
- Ensure effective communication across all levels of the organization through clear phone etiquette and professional interaction with patients, vendors, and team members.
- Support training & development efforts by organizing educational sessions aimed at enhancing team skills in office management and medical procedures.
Requirements
- Proven experience in office management or administrative roles within a healthcare or medical setting.
- Supervising experience with demonstrated ability to lead teams effectively.
- Strong organizational skills with the ability to manage schedules efficiently and prioritize tasks under pressure.
- Strong understanding of homecare operations, HIPAA, and compliance requirements.
- Excellent communication, organization, and multitasking abilities.
- Ability to manage high-volume workflow and prioritize tasks efficiently.
- Proficiency in Microsoft Office, faxing, email, scanning, scheduling software, and EHR systems.
- Professional demeanor and ability to work independently and as part of a team.
- Strong problem-solving, critical thinking, and customer-service skill
- Familiarity with human resources functions including payroll processing and employee relations.
- Experience in medical office management or healthcare administration is highly preferred.
- Excellent communication skills coupled with professional phone etiquette for interacting with patients, staff, vendors, and external partners.
- Ability to handle multiple responsibilities such as filing systems, front desk duties, calendar management, and clerical tasks simultaneously. Pay: $52, $65,000.00 per year
