JOB SUMMARY:
As the first point of contact for our community, the Receptionist plays a vital role in creating a welcoming and secure environment. This position is responsible for courteously and professionally managing all incoming calls, providing information and direction to residents, staff, and guests, and performing a variety of essential clerical duties.
KEY RESPONSIBILITIES:
- Front Desk Operations: Open and close the reception desk daily, ensuring all files, keys, and equipment are properly secured.
- Communication Hub: Serve as the primary telephone receptionist, answering, transferring calls, and taking detailed messages with a pleasant and professional demeanor.
- Visitor Management: Greet all visitors, vendors, and tenants, informing them of and enforcing sign-in/sign-out procedures to maintain security.
- Customer Service: Provide exceptional service by answering inquiries about the property in person and over the phone, presenting the best possible image of our community.
- Administrative Support: Sort and distribute incoming mail; provide typing and word processing services for correspondence and reports using Microsoft Word.
- Financial & Logistical Tasks: Accept and record payments, reservations, and appointments as directed.
- Confidentiality: Maintain and protect the confidentiality of all resident information at all times.
- Additional Duties: Perform other tasks as assigned to support the business office team.
QUALIFICATIONS & REQUIREMENTS:
- A minimum of two (2) years of experience as a receptionist and two (2) years of experience as a security guard.
- Excellent verbal and written communication skills in English, with a pleasant and professional phone manner.
- Proficient in Microsoft Office (Word, etc.); ability to type at least 35 WPM.
- Ability to create Word documents and correspondence with correct grammar and spelling.
- Comfort using standard office equipment (e.g., personal computer, copier).
- A reliable individual who can handle multiple routine tasks, follow specific and general instructions carefully, and maintain a secure and organized front desk.

- Conduct regular scheduled patrols of the building's interior and exterior.
- Identify and report any security, safety, or maintenance concerns observed during patrols.
- Accurately document all patrol activities and incidents in daily activity logs.
- Serve as a visible security presence at the front desk, monitoring access to the property.
Front Desk & Administrative Operations:
