Position Summary:
The Inventory Control Coordinator plays a key role in keeping production running smoothly by ensuring materials, parts, and supplies are ordered accurately, received on time, and maintained at proper inventory levels. This role supports the Materials Manager in day-to-day purchasing activity, vendor communication, stock control, and documentation. Think of it as the behind-the-scenes hero that keeps the shop from grinding to a halt.
Key Responsibilities:
Inventory Tracking & Management
- Oversee all incoming inventory by tracking deliveries, verifying quantities, and ensuring accurate documentation.
- Manage inventory levels across all storage locations, keeping materials organized and properly labeled.
- Perform routine and scheduled counts of inventory by location to maintain accuracy and support production needs.
Purchasing & Vendor Management
- Generate purchase orders based on production needs, stock levels, and requisitions.
- Communicate with suppliers to confirm pricing, lead times, and order status.
- Source alternative vendors when needed to maintain cost, quality, and delivery expectations.
- Track open orders and follow up on late or incomplete shipments.
- Work with Accounts Payable to reconcile invoices and resolve discrepancies.
Receiving & Material Verification
- Unload trucks using a forklift safely and efficiently.
- Count and verify all incoming material accurately.
- Match packing list to material BEFORE the truck leaves the property.
- Identify discrepancies immediately and obtain driver sign-off on any issues.
- Submit all receiving paperwork to the office / Tim Cottrell daily.
- Tag all incoming material prior to placing it on racks.
Inventory Coordination
- Monitor material usage and maintain accurate inventory counts for steel, components, consumables, and specialty items.
- Perform routine cycle counts and assist with year-end physical inventory.
- Inventory ALB/CUB materials at least bi-weekly.
- Coordinate material movement, transfers, and returns to ensure accurate data in the system.
- Identify low-stock risks early and communicate them to the Materials Manager.
- Maintain organization of storage areas, labeling systems, and stock locations.
Production & Shop Support
- Work closely with production planners and supervisors to understand daily/weekly material requirements.
- Ensure necessary materials are staged and ready to support fabrication schedules.
- Resolve material shortages quickly to prevent downtime.
- Assist with material traceability, mill certs, and job documentation as needed.
Data & Administrative Duties
- Maintain accurate purchasing and inventory records in the ERP/MRP system.
- Prepare reports for usage trends, open orders, and material requirements.
- Keep vendor files up to date, including W-9s, certifications, and pricing sheets.
- Support continuous improvement efforts for purchasing and inventory processes.
Required Qualifications:
- Previous purchasing, inventory control, or materials coordination experience preferred — manufacturing or metal fabrication is a plus.
- Ability to operate a forklift or willingness to train.
- Ability to count accurately and maintain precise documentation.
- Familiarity with metals (steel, aluminum, sheet, plate, bar) and fabrication consumables helpful.
- Strong organizational and multitasking skills.
- Ability to communicate effectively with vendors, shop staff, and leadership.
- Problem-solver with a mindset for accuracy and efficiency.
Skills & Competencies:

- Basic computer skills (e.g., Microsoft Office, ERP systems).

Physical Requirements:
- Ability to stand, walk, bend, and lift up to 50 lbs. for extended periods.
- Work in a manufacturing environment with exposure to noise, machinery, and varying temperatures.
- Must be comfortable wearing required PPE (Personal Protective Equipment) such as safety glasses, gloves, and hearing protection.
