Front Office Customer Service Coordinator –

Raptor Pest Control LLC is seeking a dependable and highly organized Front Office Customer Service Coordinator to support our growing pest control operation. As the first point of contact for customers, you will provide excellent customer service, manage daily schedules, support technicians, and ensure smooth office operations. This role is essential to maintaining Raptor's reputation for fast, friendly, and professional service.

Key Responsibilities Customer Service & Communication

  • Answer incoming calls, emails, and messages promptly and professionally.
  • Provide clear information about Raptor Pest Control services, pricing, and appointment availability.
  • Handle customer questions, route more complex inquiries to managers or technicians, and follow up as needed.
  • Maintain a welcoming, service-focused attitude that reflects the values of Raptor Pest Control.

Scheduling & Dispatching

  • Coordinate and optimize technician routes for daily service, inspections, exclusions, and follow-ups.
  • Update schedules in real time for cancellations, urgent calls, or weather-related changes.
  • Communicate job details, customer notes, and special instructions to technicians throughout the day.
  • Monitor job completion status and ensure that customers receive timely documentation and updates.

Administrative & Office Support

  • Process invoices, payments, and service agreements accurately.
  • Maintain customer profiles, service notes, and billing information in company software (e.g., Briostack, PestPac, ServiceTitan, etc.).
  • Assist with daily office tasks such as organizing paperwork, managing supplies, and handling mail.
  • Support management with reports, service logs, and compliance-related documentation.

Sales & Service Plan Assistance

  • Provide customers with basic estimates or schedule technicians for on-site evaluations.
  • Help renew service contracts and promote preventative maintenance programs.
  • Follow up on leads, missed calls, customer inquiries, and online submissions.

Team Coordination

  • Work closely with technicians and management to ensure efficient workflow.
  • Communicate customer concerns, scheduling challenges, or special requirements clearly to the field team.
  • Assist in onboarding new customers by explaining services, scheduling initial visits, and ensuring proper documentation.

QualificationsRequired

  • High school diploma or equivalent.
  • Strong verbal and written communication skills.
  • Ability to multitask effectively in a busy service environment.
  • Warm, professional customer service mindset.
  • Basic computer proficiency and familiarity with office software.
  • Reliable, punctual, and highly organized.

Preferred

  • Experience in pest control, home services, dispatching, or similar office roles.
  • Familiarity with pest control software (Briostack, PestPac, GorillaDesk, ServiceTitan, etc.).
  • Bilingual in English/Spanish is a strong plus.
  • Understanding of pest control service types, terminology, and scheduling workflows.

Work Environment

  • Office-based role with daily communication between customers, technicians, and management.
  • Involves frequent phone, computer, and scheduling software use.
  • Occasional need for extended hours during peak seasons.

Pay: $ $28.00 per hour

Expected hours: 40 – 50 per week
