The Quality Assurance Coordinator is responsible for supporting HGV Deed, VIP and HVC Trust sales produced from international sales galleries. International sales follow a specific process and require countersignature documentation.

The QAC will maintain open communication and work closely with onsite Quality Assurance, Sales, Contracts and Hospitality Teams to maintain a high quality of professionalism, efficiency, productivity and top-level customer service.

As a Quality Assurance Coordinatoryou would be responsible for:

  • Follows all quality assurance directives and standard operating procedures (SOPs)
  • Maintains expert understanding of product and document knowledge, acts as product knowledge expert
  • Exhibits professionalism in actions and appearance
  • Completes all required Company trainings and compliance courses as assigned
  • Communicates effectively with Legal, Contracts and/or Title departments, if documents require any corrections
  • Conducts follow-up on missing or incomplete documentation
  • Prepares and signs required countersignature documents as needed for US Sales made at International galleries
  • Updates system to confirm countersignature pages have been signed and scanned to the onsite team for filing
  • If needed, prepares mailout contracts, provides follow up and point of contact for the new owner
  • Works closely with Creative Mobile Notary team; appointment scheduling, review of documents prior to return, ensure return of fully executed and completed documents
  • Performs Remote Online Notary sessions (RON), when needed
  • Partners with the onsite Quality Assurance teams to provide and maintain excellent customer service
  • Adheres to Company standards and maintains compliance with all policies and procedures
  • Manages End of Month process; last day of the month will be required to work to ensure all sales have been flipped, for all sites that are being supported
  • Performs other related duties as assigned

To fulfill this role successfully, you must possess the following minimum qualifications and experience:

  • Ability to work independently with minimal supervision; includes the ability to recognize need for involvement of other teams/peers and capability to effectively facilitate that collaboration
  • Excellent customer service skills paired with strong communication skills
  • Proficient in time management; ability to organize and manage multiple priorities
  • Solution oriented; the ability to target and solve issues effectively
  • Performs well with frequent interruptions and/or distractions
  • Keen understanding of the sales process
  • Computer proficiency in Microsoft Word, Excel and Outlook

It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:

  • Notary License
  • Bilingual is a plus
  • Vacation Ownership experience
  • Experience with VOICE, CHORUS, Oracle, Hyperion, and/or COGNOS
