Job Overview
We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive administrative support to CEO. The ideal candidate will excel in managing complex schedules, Marketing Events, coordinating projects, and handling a variety of clerical tasks with professionalism and discretion. This role offers an exciting opportunity to be an integral part of a dynamic team, ensuring smooth daily operations and effective communication across departments.

Duties

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events efficiently.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Prepare and proofread correspondence, reports, presentations, and other documents with attention to detail.
  • Handle incoming calls with professional phone etiquette, screening and directing inquiries as appropriate.
  • Assist with event planning for corporate functions, meetings, and special occasions.
  • Perform data entry and bookkeeping tasks using QuickBooks and other accounting software.
  • Oversee office management duties such as filing, document organization, and maintaining office supplies.
  • Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items.
  • Manage personal errands for executives as needed, including scheduling appointments and handling confidential information.
  • Utilize office systems such as multi-line phone systems and office management tools like DocuSign for electronic signatures.

Skills

  • Proven experience in executive administrative support or personal assistant roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook Calendar, Google Workspace, and data entry tools.
  • Excellent typing speed with high accuracy; capable of transcription and proofreading documents effectively.
  • Strong project coordination abilities with experience in event planning and office management.
  • Familiarity with QuickBooks for bookkeeping and basic accounting tasks.
  • Exceptional phone etiquette and customer service skills for professional communication.
  • Demonstrated ability to handle multiple priorities efficiently in a fast-paced environment.
  • Office experience including filing systems, front desk responsibilities, and clerical support functions.
  • Knowledge of office technology such as multi-line phone systems and electronic signature platforms like DocuSign. This position is ideal for a detail-oriented professional who thrives in a busy environment and is eager to support executive leadership through exceptional organizational skills and proactive assistance.

Pay: $ $17.00 per hour

Expected hours: 40.0 per week
