Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior management. The ideal candidate will excel in managing calendars, coordinating projects, and handling a variety of clerical tasks with professionalism and efficiency. This role requires excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment. The Executive Assistant will play a vital role in ensuring smooth office operations and supporting executive functions across multiple departments.
Responsibilities
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
- Provide executive administrative support including email correspondence, document proofreading, transcription, and data entry.
- Coordinate projects and events, including planning logistics and liaising with vendors or team members.
- Handle office management duties such as filing, front desk responsibilities, and maintaining office supplies.
- Utilize QuickBooks for basic bookkeeping tasks and expense tracking.
- Prepare reports, presentations, and other documents using Microsoft Office tools.
- Manage multi-line phone systems with professional phone etiquette while directing calls appropriately.
- Assist with personal tasks for executives as needed, acting as a reliable personal assistant.
- Support project coordination efforts by organizing files, tracking deadlines, and ensuring timely completion of tasks.
- Use DocuSign for electronic signatures and document management processes.
- Maintain confidentiality of sensitive information while providing exceptional customer service to internal and external stakeholders.
Skills
- Proven experience in office management, administrative support, or executive assistance with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and Microsoft Outlook Calendar.
- Excellent organizational skills with the ability to prioritize tasks effectively in a dynamic environment.
- Strong typing skills with high accuracy; experience in proofreading and transcription is preferred.
- Knowledge of event planning, project coordination, bookkeeping (QuickBooks), and data entry processes.
- Exceptional phone etiquette with experience managing multi-line phone systems.
- Familiarity with office equipment such as fax machines, scanners, and filing systems.
- Ability to handle multiple projects simultaneously while maintaining attention to detail.
- Strong communication skills—both written and verbal—and the ability to interact professionally with diverse stakeholders.
- Experience in customer service is a plus; familiarity with office software such as DocuSign is advantageous.
