Weiler Orthodontics is hiring a Front Desk/Scheduling Coordinator to join our team in an established role. Our front desk sets the tone for every patient's visit. We expect all team members to:

- Answer phones promptly (within two rings) and with a smile
- Represent and support the doctor's vision and goals
- Follow practice systems, scripting, and guidelines

- Commit to cross-training and helping team members when needed
- Address concerns directly and respectfully before escalating
- Avoid gossip and contribute to a healthy, positive team culture

Your Core Responsibilities
- Welcome every patient warmly and by name
- Create smooth check-in/check-out experiences
- Answer phone calls enthusiastically and follow office scripting
- Schedule appointments accurately using established templates
- Confirm next-day appointments as needed
- Follow up quickly on no-shows, cancellations, and unscheduled patients
- Prepare new patient paperwork and contracts accurately and on time
- Support the Treatment Coordinator to keep the clinical schedule full
- Keep office spaces clean, organized, and fully stocked
- Arrive 30 minutes before the first scheduled patient
Administrative Support
- Assist with opening and closing the office
- Maintain voicemail and answering service messages
- Monitor and respond to emails throughout the day
- Complete daily checklists and assigned tasks on time
- Run reports as needed
- Assist with financial, insurance, and new patient duties when backup is needed
- Collaborate with all team members to meet practice goals
Marketing & Community Outreach
- Represent the practice with professionalism and enthusiasm
- Know our top referring offices and thank them regularly
- Assist with community outreach, school presentations, and events
- Help purchase and restock patient reward items
- Support office marketing initiatives when needed
Schedule
- Monday–Thursday: 7:30 AM – 5:00 PM
- Friday: Hours vary (to be discussed)
- Lunch: 12:50 PM – 1:50 PM
- Must attend all team meetings
- Must maintain phone coverage during posted office hours
Ideal Candidate
- Friendly, upbeat, and patient-focused
- Excellent communicator (in person and on the phone)
- Highly organized with strong multitasking skills
- Comfortable with computers and learning new software
- Thrives in a fast-paced, team-oriented environment
- Reliable, proactive, and eager to learn
- Dental/orthodontic experience is a plus, but not required
