The Louisiana Department of Health – Health Standards Section is seeking a detail-oriented, motivated professional to manage and process Public Records Requests. In this role, you'll locate and extract information from licensing and survey files, ensure compliance with state and federal regulations, coordinate with Legal on releases, and track all requests from start to finish.

You'll handle billing and collections, determine when documents need redaction or special handling, and maintain accurate documentation for legal and audit purposes. You'll also support quality improvement efforts, build strong working relationships, and assist with clerical licensing tasks as needed.

Minimum Qualifications

Three years of experience in administrative services; OR

Six years of full-time work experience in any field; OR

A bachelor's degree.

EXPERIENCE SUBSTITUTION:
Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.

Job Duties and Other Information

Job Duties:

  • Review, prioritize, and process daily Public Records Requests (PRRs) by locating requested documents, verifying accuracy, and ensuring compliance with State and Federal laws.
  • Retrieve, analyze, and extract information from surveys, licensing, and certification records, determining what documents are releasable and preparing data for the requestor.
  • Coordinate with Legal and other authorities for guidance on document release, redactions, special handling, and required approvals.
  • Document and track all requests in the online database, including fulfillment details, to ensure legal compliance, proper procedures, and efficient workflow.
  • Prepare, issue, and collect invoices for billable requests; monitor outstanding payments and follow up with written and verbal reminders.
  • Identify opportunities for process improvement and compliance, communicating recommendations to management and auditors to enhance program operations.

Position-Specific Details:

Location: Office of Secretary / Health Standards / East Baton Rouge Parish

Appointment Type: This position will be filled as aWAE (When Actually Employed). **Please note** When Actually Employed (WAE) appointments are temporary and may last up to a year. Employees can only work a total of 1,245 hours within a 12-month period.
