Administrative Assistant Job Description
Position Summary:
The Administrative Assistant plays a key role in supporting daily office operations and ensuring efficient workflows. This position involves managing communications, scheduling, and organizational tasks while providing reliable support to staff, managers, and clients.
Responsibilities:
- Answer and direct phone calls, emails, and other correspondence.
- Schedule and coordinate meetings, appointments, and travel.
- Maintain organized filing systems (digital and physical).
- Draft, edit, and distribute reports, memos, and letters.
- Assist with the preparation of presentations and scheduled reports.
- Order and manage office supplies and equipment.
- Greet visitors and provide general office support.
- Perform data entry and maintain accurate databases and records.
- Support HR processes such as onboarding and employee file maintenance.
- Handle confidential information with professionalism.
Qualifications:
- High school diploma or equivalent; associate or bachelor's degree preferred.
- Prior experience in an administrative support role.
- Proficiency with Microsoft Office Suite or Google Workspace.
- Excellent organizational skills.
- Strong written and verbal communication abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and in a team setting.
Preferred Skills:
- Experience with office management software or databases.
- Basic bookkeeping or expense-tracking knowledge.
- Customer service experience.
