Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will have strong office management skills, excellent communication abilities, and proficiency with various computer applications. This role involves handling administrative tasks, managing front desk responsibilities, and providing exceptional customer support to ensure smooth daily operations. Prior experience in clerical work, data entry, and calendar management is preferred.
Responsibilities
- Manage front desk duties including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office Suite and Quickbooks Online for correspondence, bookkeeping report generation, and scheduling
- Coordinate calendar management and appointment scheduling for staff and clients
- Handle customer service inquiries via phone, email, or in person, providing support and information as needed
- Support office management activities such as supply ordering, organization of files, and maintaining office equipment
- Provide administrative support to team members including personal assistance tasks when required
Skills
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Strong organizational skills with the ability to multitask effectively
- Excellent typing speed and accuracy for data entry and document preparation
- Experience with office management systems, clerical procedures, and administrative workflows
- Knowledge of QuickBooks or similar bookkeeping software is advantageous
- Exceptional customer service skills combined with professional phone etiquette
- Ability to handle sensitive information discreetly with strong proofreading skills
- Time management skills to prioritize tasks efficiently and meet deadlines
- Previous experience as a receptionist, personal assistant, or administrative assistant
This position is integral to maintaining an organized office environment while delivering outstanding support to clients and staff alike.
Pay: $ $22.00 per hour
Expected hours: 40 per week
