Overview
We are seeking a professional and organized Front Desk Staff member to join our team. The ideal candidate will serve as the first point of contact for visitors and clients, managing administrative tasks with efficiency and professionalism. This role requires excellent communication skills, strong organizational abilities, and proficiency with office management tools. Bilingual skills are a plus to effectively serve diverse clientele. The position offers an opportunity to work in a dynamic environment where customer service and administrative expertise are highly valued. In addition to front desk responsibilities, this position will support light social media and digital engagement efforts during the shift.

Duties
- Greet visitors and clients in a friendly and professional manner, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately and providing exceptional customer support
- Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools
- Handle data entry, filing, and document proofreading to maintain accurate records
- Utilize QuickBooks for basic bookkeeping and financial record keeping
- Assist with office management tasks such as organizing supplies, maintaining cleanliness, and ensuring efficient workflow
- Support administrative functions including typing correspondence, managing emails, and supporting office staff with clerical duties
- Provide customer service support by addressing inquiries promptly and courteously
- Perform general clerical duties such as photocopying, faxing, and maintaining organized files
- Social Media & Digital Support
- Capture photos and short videos of the facility, events, or guest activities (as appropriate)
- Assist with posting or scheduling content on platforms such as Instagram, Facebook, or TikTok
- Engage with comments or messages following brand guidelines
- Support promotions, specials, or events through social channels
- Coordinate content ideas with management when needed
Qualifications
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or bookkeeping is preferred
- Excellent phone etiquette with the ability to handle multi-line phone systems efficiently
- Bilingual abilities are highly desirable to serve diverse populations effectively
- Strong organizational skills with attention to detail and accuracy in data entry and proofreading
- Ability to manage time effectively and prioritize tasks in a fast-paced environment
- Previous experience as a receptionist or personal assistant is advantageous
- Knowledge of medical or dental receptionist duties is a plus but not required
- Demonstrated customer service skills with a professional demeanor at all times
