Logistics Coordinator

The Logistics Coordinator is responsible for the overall efficiency of vehicle movement and transport, ensuring a smooth, cost-effective, and timely flow of inventory from acquisition (auction/trade-in) through the reconditioning pipeline to final display on the sales lot. This role requires strong organizational skills, strategic route planning, and effective management of the driver team and third-party carriers. Reports to the Operations Manager/ Owners as appropriate and works closely with the buyers.

Essential Duties and ResponsibilitiesI. Inventory Transportation Management

  • Acquisition and Delivery: Coordinate the pickup and delivery of all purchased inventory from auctions, wholesale trades, and dealer transfers, ensuring vehicles are moved efficiently and securely.
  • Route Planning: Strategically plan and optimize driver routes for multiple pickups and drop-offs to minimize fuel costs, labor hours, and overall transport time.
  • Third-Party Carrier Management: Negotiate rates, schedule, and oversee the performance of external transportation carriers for long-haul moves or volume demands, receive vehicles, check for damage, send/recieve payments as necessary.
  • Risk Management: Ensure all vehicle transportation complies with company policy for both outbound and inbound vehicles. Follow safeguards to ensure accuracy when accepting or turning out a vehicle.

II. Internal Vehicle Flow and Staging

  • Recon Pipeline Coordination: Work closely with the Shop Manager and Buyers to prioritize timely delivery for incoming, outgoing and internal vehicle transfers.
  • Staging Area Oversight: Manage the organization and flow of vehicles within the physical staging areas (e.g., service drive, overflow lot, display lot) to maximize efficiency and minimize bottlenecks.
  • Key and Documentation Control: Implement and maintain a secure system for tracking vehicle keys and relevant documentation (Title, Repair Orders, Keys Out forms) during all stages of movement. Verify all vehicle VIN numbers for accuracy.

III. Driver Team Management

  • Scheduling and Dispatch: Create and manage the daily schedules and dispatch of the in-house driver team for all internal and external movements.
  • Performance: Train drivers on proper vehicle handling, safety procedures, and accurate documentation protocols. Monitor driver productivity and efficiency.
  • Payroll Support: Accurately track driver hours, overtime, and mileage reports for payroll submission.
  • Safety and Compliance: Ensure drivers maintain a clean safety record with no preventable traffic violations, are listed as qualified, and are approved by insurance.

IV. Inventory Tracking and Reporting

  • System Updates: Ensure the reconditioning software is updated immediately upon vehicle arrival, staging changes, or departure.
  • Expense Tracking: Monitor and report on transportation costs, identifying areas for cost reduction without compromising speed or safety.
  • Condition Reporting: Oversee drivers in the accurate completion of vehicle condition reports (VCRs) upon pickup and delivery to document any damage.

Expectations and Key Performance Indicators (KPIs)

  • Transportation Cost per Vehicle: Maintain costs below the established departmental budget.
  • Driver Efficiency: Meet targets for mileage efficiency and on-time performance.
  • Time-to-Lot (TTL) Reduction: Directly contribute to minimizing the inventory's Days to Market by eliminating internal movement delays.

Qualifications

  • Preference of 3 years of experience in logistics, transportation management, or dispatch, preferably within the automotive industry.
  • Proven ability to manage and schedule a team of drivers.
  • Strong organizational, problem-solving, and communication skills.
  • Proficiency in data entry software and reconditioning software is highly desirable.
  • Valid driver's license and clean driving record required.

Pay: $ $20.00 per hour

Expected hours: 40.0 per week
