Position Summary: 

The Total Rewards Specialist supports the administration of the company's compensation, benefits, payroll, and leave programs.

Roles:

  • To support all People Operations activities, particularly by reducing the administrative burden of the Director of Total Rewards and other People Operations leaders.
  • Serve as primary administrator for payroll processing and related audits.
  • Manage employee leave administration.
  • Support benefits administration and reconciliation activities.
  • Administer employee recognition and rewards programs.
  • Act as a point of contact for inquiries related to benefits, leave, employment verifications, etc.
  • Provide a compliant and positive working environment for all.

Major Responsibilities or Assigned Duties:

  • Coordinate administrative functions for the leave of absence program, including (next 6 bullet points):
  • Basic conversations with employees about eligibility requirements and benefits under the program;
  • Sending out paperwork to be filled out and returned for initial approval and recertification;
  • Initial approval conversations with Director of Total Rewards as well as ongoing updates with supervisors about employee status;
  • Working with supervisors to ensure timecards are appropriately updated for time off tracking;
  • Working with Director of Total Rewards on benefits pre- or re-payments as needed; and
  • Arranging meetings with employees, supervisors, and People Ops for good faith discussions around returning from leave, accommodations requested, and/or any other situations arising from time off.
  • Act with confidentiality and use discretion as the primary payroll processor (next 3 bullet points):
  • Maintain accurate payroll records, including ad-hoc requests, 401k changes, and child support and wage garnishment orders
  • Process payroll according to schedule, ensuring accurate and prompt pay to employees
  • Process off-cycle payroll as needed
  • Assist with benefits enrollments, qualifying life events, and open enrollment administration
  • Process annual background checks for appropriate teams per policy, and initiate compliance review meetings if needed
  • Respond to employment verification requests and affiliation verification requests (for contractors)
  • Respond to employee questions regarding payroll, benefits, and leave in a timely and professional manner
  • Assist with audits, reporting, and special projects as needed
  • Coordinate periodic meetings for employees who want to meet 401k vendors. Gather feedback from employees on usefulness and quality of meetings.
  • Maintain federal and state labor poster program.
  • Coordinate access between PO systems where integrations are not in place, ensuring accurate information in all systems (i.e. Awardco, PowerBI)
  • Complete other duties as assigned
Requirements

Qualifications

  • 2+ years of experience in HR, payroll, benefits, or other administration preferred
  • Experience working within an HRIS (i.e. Paycom, UKG, ADP, etc) a plus
  • Personal computer literacy and high competency in use of MS Word and ten key
  • Strong detail orientation
  • Strong organizational skills
  • Excellent interpersonal skills with a high level of customer service orientation
  • Strong oral and written communication skills
  • Strong analytical and critical thinking skills
  • Learning agile and picks up new concepts and duties quickly
  • Ability to work independently with minimal supervision while regularly communicating with teammates on items that impact their ability to perform their job

Education:

  • High School Diploma or GED required
  • Associates or Bachelor's Degree in a business or HR-related field preferred
  • PHR or equivalent certification preferred

Work Environment:

Ability to sit at a desk, utilize a computer, telephone, and other basic office equipment is required. This role is designed to be a remote position (work-from-home).
