Position Overview:
Vaco is partnering with a company in the Tulsa area to identify a Client Services Specialist to join their team. The Client Services Specialist serves as a primary point of contact for clients, employees, and external partners, with a strong focus on handling a high volume of incoming calls. This role requires excellent customer service skills, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

This is a full-time, on-site position with a standard schedule of Monday through Friday, 8:00 AM to 5:00 PM. During these hours, you will manage the company's main phone lines and act as the central communication hub.

Key Responsibilities:

  • Manage high-volume, multi-line phone systems, serving as the primary contact for inbound calls and urgent inquiries.
  • Deliver exceptional customer service by answering, screening, and routing calls efficiently and professionally.
  • Address client questions and concerns or escalate issues to the appropriate department when needed.
  • Ensure accurate message documentation and timely follow-up.
  • Support front office and administrative operations to maintain smooth daily workflow.
  • Greet and assist visitors in a courteous and professional manner.
  • Complete additional duties as needed to support business operations.

Qualifications:

  • High school diploma or equivalent; associate degree preferred.
  • At least 3 years of experience in customer service, client support, call center, or a similar high-volume phone environment

  • Proven ability to manage multiple phone lines and high call volumes effectively.
  • Strong customer service mindset with excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and phone system software.
  • Professional demeanor with the ability to remain calm and solution-focused under pressure.
  • Strong organizational skills and attention to detail.

Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
