Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management. This role involves handling a variety of clerical and administrative tasks to ensure smooth daily operations, providing exceptional customer service, and supporting team members with various administrative needs. Bilingual skills are a plus, as well as experience with medical or dental office environments. The position offers an opportunity to work in a professional setting where organizational skills and attention to detail are highly valued.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Utilize Microsoft Office Suite and Google Workspace for correspondence, reports, and scheduling
  • Assist with calendar management and appointment scheduling for staff or clients
  • Support bookkeeping and invoicing tasks using QuickBooks or similar software
  • Provide customer support via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
  • Handle office management duties such as supply inventory, mail distribution, and general administrative support
  • Support personal assistant tasks including calendar management and travel arrangements as needed
  • Maintain organizational systems to improve office efficiency and workflow

Requirements

  • Proven experience in an office environment with clerical or administrative responsibilities
  • Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Familiarity with QuickBooks, bookkeeping, or office management software is preferred
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Excellent communication skills, both verbal and written; phone etiquette is essential
  • Bilingual abilities are a plus but not required
  • Experience working as a receptionist in medical or dental offices is advantageous
  • High level of computer literacy and attention to detail including proofreading and document accuracy
  • Ability to manage time efficiently and prioritize tasks effectively
  • Previous experience with calendar management, filing systems, and customer support roles is preferred

Pay: $20.00 per hour
