Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management. This role involves handling a variety of clerical and administrative tasks to ensure smooth daily operations, providing exceptional customer service, and supporting team members with various administrative needs. Bilingual skills are a plus, as well as experience with medical or dental office environments. Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office Suite and Google Workspace for correspondence, reports, and scheduling
- Assist with calendar management and appointment scheduling for staff or clients
- Support bookkeeping and invoicing tasks using QuickBooks or similar software
- Provide customer support via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
- Handle office management duties such as supply inventory, mail distribution, and general administrative support
- Support personal assistant tasks including calendar management and travel arrangements as needed
- Maintain organizational systems to improve office efficiency and workflow
Requirements
- Proven experience in an office environment with clerical or administrative responsibilities
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Familiarity with QuickBooks, bookkeeping, or office management software is preferred
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent communication skills, both verbal and written; phone etiquette is essential
- Bilingual abilities are a plus but not required
- Experience working as a receptionist in medical or dental offices is advantageous
- High level of computer literacy and attention to detail including proofreading and document accuracy
- Ability to manage time efficiently and prioritize tasks effectively
- Previous experience with calendar management, filing systems, and customer support roles is preferred
Pay: $20.00 per hour
