Job Description

Operations Center Coordinator

The Operations Center Coordinator will provide support to the manager and operation center supervisors, will be trained and available to help with any of the three center areas (communications, I-9, or verification hub), perform human resource and finance functions, process various reports (international over hours, graduation, etc.) and oversee certain important yearly projects.  

Note: This is a part-time position (28) hours per week.

What you'll do in this position:

Provide direct support during peak contact times to employees and management (from campus areas utilizing the unified partner model)

  • Assist in person, electronically, or by phone with common HR transactions, services, and inquiries.
  • Initiate, validate, and/or approve transactional requests specific to campus areas and, in some cases, the university. Be able to respond to all functional HR areas.
  • Appropriately route requests to others when confronted with higher-level transactions/inquiries or with transactions/inquiries from campus areas not utilizing the unified partner model.

Human Resources and Finance

  • Answer phone calls and emails specific to the center's operations
  • Budget review with manager.
  • Help with international student orientations
  • Manage lines of waiting students, including checking to see if they have the correct documents, if they need a social security card to be uploaded, or if they are there for something other than an I-9, etc.
  • Pays accounts for memberships, NSO, project supplies and other purchases for the department.
  • Does inventory and keeps the center stocked on necessary office supplies.

Reporting

  • Oversee troubleshooting, and problem-solving, institute process and improvements of Operations Center reports including but not limited to invalid accounts, Physical Facilities and International student over-hours report, Compliance reports (I9, late hires, hourly and contracts)

Planning and execution of annual events such as Student Employee of the Year (SEOTY), Student Employee Appreciation Week (SEAW) and other special events as needed.  May work with the HR Recruiting office as needed on NSO or NPO.

What qualifies you for this role:

Required

  • A firm commitment to the mission of BYU.
  • Two years of office experience.
  • Proficient in Microsoft Office Suite or related software.
  • Ability to work in stressful environment and deal with difficult people, help diffuse emotional situations.

Preferred

  • Two years of HR experience.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Proficient in Microsoft Office Suite or related software.
  • Ability to work in stressful environment and deal with difficult people, help diffuse emotional situations.
  • Knowledge of BYU policies and practices with regards to hiring
  • Knowledge of Peoplesoft or other HRIS software
  • Knowledge of HR laws and policies

Pay Grade: 49

Typical Starting Pay: $ $29.50
