Logistics Coordinator

A logistics admin clerk handles administrative duties related to shipping, receiving, and inventory management, including preparing shipping documents, tracking shipments, coordinating with carriers and suppliers, and maintaining accurate records. They ensure the smooth and efficient flow of goods by managing logistics-related paperwork, providing customer service, and supporting warehouse operations.

Key responsibilities

  • Shipment and delivery coordination: Schedule pickups, coordinate routes, and track shipments to ensure on-time delivery.
  • Documentation and data entry: Prepare and process shipping documents, invoices, and bills. Update and maintain inventory and shipment records in company systems.
  • Inventory management: Monitor stock levels, track inventory information, and ensure sufficient supplies for shipping operations.
  • Communication: Act as a point of contact for customers, carriers, and suppliers, providing updates and resolving issues related to shipments.
  • General administrative support: Handle general administrative tasks as directed by a supervisor, such as filing, ordering supplies, and managing correspondence.

Required skills and qualifications

  • High school diploma or GED; associate degree is often preferred.
  • Proficiency in Microsoft Office and other relevant logistics software.
  • Strong communication, organizational, and multitasking skills.
  • Attention to detail and accuracy.

A shipping and receiving coordinator is responsible for managing the flow of goods into and out of a company, including receiving, inspecting, and stocking incoming shipments, and preparing, documenting, and arranging outgoing shipments. Key duties include verifying shipment contents against records, managing inventory, preparing shipping documents like bills of lading, using warehouse equipment like forklifts and scanners, and communicating with carriers, vendors, and customers.

Receiving duties

  • Unload incoming shipments using equipment like forklifts or pallet jacks.
  • Inspect incoming goods and compare contents against manifests, invoices, or purchase orders.
  • Verify quantities and check for damages or discrepancies, noting any issues and alerting the appropriate personnel.
  • Properly label and document received items.
  • Put away materials in their designated storage locations.

Shipping duties

  • Process customer orders, which may include picking, packing, and labeling items.
  • Prepare and generate shipping documentation, such as bills of lading, packing lists, and commercial invoices.
  • Schedule and coordinate with freight carriers for pickup and delivery.
  • Label packages and affix postage as needed.
  • Ensure all outgoing shipments are accurate and prepared according to specifications.

Inventory and coordination

  • Maintain accurate inventory records and perform cycle counts or stock audits.
  • Alert management to low stock or out-of-stock items.
  • Operate a scanner or RF gun to track the movement of goods.
  • Communicate with other departments, vendors, and customers to resolve shipping-related issues and ensure timely fulfillment.
  • May be responsible for providing direction to a team of shipping and receiving staff.

Required skills and qualifications

  • High school diploma or equivalent is typically required.
  • Strong organizational and communication skills are essential.
  • Proficiency with computers and various software (e.g., MS Office, logistics software).
  • Experience with warehouse equipment, such as forklifts and pallet jacks, is often required.
